- The information we collect
- Identity and contact data name, email, phone, address.
- Enquiry data information provided via our website forms (including whether you are a landlord and the nature of your enquiry) or when you contact us.
- Client data financial and tax records, property and rental information, capital gains information, UTR and National Insurance numbers, bank details, and information relating to trusts, estates and beneficiaries where relevant.
- Cross-border data where we advise on UK-India or other cross-border matters, information necessary for that advice.
- Identity verification data documents collected for AML and client due diligence.
- Website and technical data IP address, browser and device information, and cookie data.
Given the nature of our work, we may process data about your family, property holdings, and financial affairs. We may process special category data (for example, in estate-planning matters) only where necessary and with an appropriate lawful basis and safeguards.
- How and why we use your data (lawful bases)
- Responding to enquiries pre-contract steps at your request and our legitimate interests.
- Providing tax, property tax, accountancy and advisory services performance of our contract (the engagement).
- Meeting legal and regulatory obligations including AML, tax obligations and our professional body’s requirements compliance with a legal obligation.
- Running and improving our firm administration and record-keeping our legitimate interests.
- Marketing only with your consent or under legitimate interests, with an easy opt-out.
- Who we share it with
We do not sell your data. We may share it with:
- Other firms within Adroit Accountax Group, under appropriate safeguards.
- HMRC and other UK authorities, and where relevant to cross-border engagements and with an appropriate basis overseas tax authorities or advisers.
- Service providers processing data on our behalf (cloud accounting, IT, hosting, secure document exchange) under contract.
- Professional advisers, regulators and auditors where necessary.
- Successors in a business transfer or reorganisation.
- International transfers
Some of our work (including UK–India matters) may involve transferring data outside the UK. Where it does, we ensure appropriate safeguards are in place an adequacy decision or the ICO’s IDTA/Addendum and will explain this to you in the context of the specific engagement.
- How long we keep it
- Client records and working papers generally [6–7] years after the engagement ends (longer for certain matters such as estates or trusts, where relevant).
- AML / due diligence records 5 years after the business relationship ends.
- Enquiries that don’t become clients [period].
- Marketing data until you opt out.
- Your rights
You have the rights to access, rectification, erasure, restriction, objection, portability, and to withdraw consent where we rely on it. Some rights may be limited where we must retain data by law (for example, AML and tax records). To exercise a right, contact info@lallondhia.com; we respond within one month.
